When should I contact PCD to schedule pick up?
My car has a build date of week 36. I will be taking delivery at the PCD. BMW is holding training for their employee's from 10/14 till the first week of November on the new X3. I Assume that no PCD's will take place during this training. I won't be able to have my car built and take delivery before the start of the training. Therefore I must take delivery after the training. So my question is when should I contact the PCD to set up taking delivery? Any help would be appreciated.

Why not just call them right now and ask them about this?
You're going to need to know the overall process at some early time. Your dealer can call to do this. Your assumption may or may not be correct. You have no reason not to call them. They do answer all phone calls and questions ... |

The PCD should contact your dealer with the earliest available date based on your production code. If you are not available on the date they provide, I believe you provide your CA with few alternate dates you are available and they (the PCD) will choose from one of those dates. I do not believe you can simply call the PCD and schedule a date.
